Welcome to Form & Tone. These Terms & Conditions govern all portrait photography services provided by Form & Tone, a trading name of Product ONE. By submitting a booking request or paying a deposit, you agree to these Terms & Conditions.

1. Booking Your Session

Submitting a booking request through our website does not guarantee a reservation.

Once your enquiry has been received, we will contact you to confirm availability and agree a suitable date and time. Your session is only confirmed once:

  • We have confirmed your booking in writing.
  • The required deposit has been received.

If your requested date is unavailable, any deposit paid will be refunded in full or transferred to an alternative date.

2. Deposit & Payments

A non-refundable deposit is required to secure your booking.

The remaining balance is payable before or on the day of your portrait session unless otherwise agreed in writing.

Additional artwork, prints and wall art selected after your viewing appointment must be paid for before production begins.

3. Cancellation & Rescheduling

If you need to reschedule your session, please provide as much notice as possible.

  • More than 7 days’ notice – your deposit can be transferred to a new date.
  • Less than 7 days’ notice – the deposit may be forfeited unless exceptional circumstances apply.

If Form & Tone needs to reschedule due to illness, equipment failure or circumstances beyond our control, an alternative date will be offered or your deposit refunded in full.

4. Portrait Sessions

Portrait sessions are photographed at your home or another agreed location.

Please ensure that:

  • The property is safe and accessible.
  • Adequate space is available for photography equipment.
  • Pets and young children are supervised unless they are part of the session.

Session durations are approximate and may vary depending on the number of people being photographed and the style of images requested.

5. Included Artwork

Every standard portrait session includes:

  • One professionally retouched image.
  • One UK handmade 20×16” frame.
  • One mounted 16×12” Fine Art print.

Frame and mount options available at the time of ordering include:

  • Black or White frame.
  • Float or Single Mount.
  • Black or White mount.

Alternative sizes, frames and additional artwork are available to purchase separately.

6. Image Selection

Following your session, you will be invited to view your photographs and choose your favourite image(s).

Only purchased images will be fully retouched and supplied.

Unpurchased images remain the property of Form & Tone and will not be supplied.

7. Digital Images

Unless specifically included within your chosen package, digital files are sold separately.

Purchased digital images are supplied for personal use only.

Commercial use requires written permission.

8. Print & Product Orders

All artwork is professionally produced using trusted UK suppliers.

Because prints and framed products are made to order, they cannot normally be refunded or exchanged unless faulty or damaged.

Please inspect your order upon collection or delivery and notify us within 7 days if there are any issues.

9. Copyright

Copyright of all photographs remains with Form & Tone unless otherwise agreed in writing.

Clients receive permission to use purchased images for personal, non-commercial purposes including:

  • Printing
  • Sharing with family and friends
  • Social media

Images may not be altered, edited, filtered or used commercially without written permission.

10. Image Use

We love sharing our work to help future clients see the quality of our photography.

Unless you request otherwise, Form & Tone may use selected photographs for:

  • Website portfolio
  • Social media
  • Marketing materials
  • Competitions and exhibitions

If you would prefer your images not to be used, simply let us know before or during your session and we will fully respect your wishes.

11. Force Majeure

We shall not be liable for delays or failure to provide services due to events beyond our reasonable control, including but not limited to severe weather, illness, accidents, transport disruption or equipment failure.

12. Liability

While every reasonable care is taken during your session and in handling your images, Form & Tone’s liability is limited to the value of the services purchased.

13. Privacy

Your personal information is used solely for the purpose of managing your booking, providing photography services and fulfilling your order.

We do not sell your personal information to third parties.

14. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
